STANDING COMMITTEES:

Awards Committee

·          Proposal to work with Jostens on the conference agreement for championship rings. The contract should provide Jostens with the opportunity to bid on championship rings at all ODAC schools, including a clause that does not force schools to purchase championship ringS from Jostens. In addition, Jostens will provide the conference with three traveling Commissioner’s Cups along with additional help on various awards to be determined at a later date. The contract will be drawn up and distributed to the ADs prior to final approval. (APPROVED – UNANIMOUS)

 

Championships and Games

·          Proposal from the committee to restrict charging for championships at on-campus final four venues. (DENIED – REFER BACK TO CHAMPIONSHIPS COMMITTEE FOR FURTHER DISCUSSION CONCERNING A FAIR EQUATION ON HOW TO DISTRIBUTE FUNDS RECEIVED WHILE CHARGING FOR ODAC CHAMPIONSHIP PLAY ON CAMPUS.)

 

Basketball Tournament Formats:

The committee recommended, following its discussions, proposal three. Proposal three was moved first – it failed. Proposal two was moved and seconded – it passed.

 

·          Format 2 – Maintain the current practice of all eight-tournament teams playing games at the Civic Center in a neutral format. The Quarterfinals for the men and women would be played on Thursday and Friday (dates alternating from year to year), four semifinal games on Saturday with the finals together on Sunday in the afternoon. All proceeds of the tournament would be administered by the sponsoring agency – currently the Salem, Va., Rotary Club. (APPROVED – 12Y, 0N, 1ABSTIN)

·          Format 3Allows for the top four seeds in each sport to host an ODAC Tournament quarterfinal game at home prior to the semifinals and finals being played at the neutral Salem Civic Center. The quarterfinal match-ups would switch from year to year with the men playing on Tuesday one year the women the next, etc. This format allows for home teams to charge admission with a portion of the costs going back to game expenses and a portion to the conference office. (DENIED – 1Y, 11N, 1ABSTIN).

 

**Both of these arrangements would be contingent on having a working contract with the Salem Civic Center and the Salem Rotary Club or other sponsoring agency. Details will be worked out following the May, 2005 meeting.

 

The report of the championships and games committee was moved and APPROVED.

 

Scheduling Committee

Men’s Basketball:

·          Discontinue the process of allowing teams to split Saturday/Sunday doubleheaders and playing a game on Monday. This process was allowed to continue for the 2005-06 season but will be applied for the 2006-07 season and beyond. (APPROVED – UNANIMOUS)

 

Women’s Basketball:

·          The league scheduling committee agreed to allow flexibility in the women’s schedule in 2005-06 allowing the coaches and administrators to work within the following framework.

o         Last year’s schedule started a two-year cycle with men’s and women’s basketball scheduled together for combined travel. In some instances schools used the opportunity to travel the men’s and women’s teams together – in other situations such travel did not work for various reasons. Due to the combined initiative, the schedules were overlapped and several problems occurred with both schedules along the way. In an effort to make the two schedules more equitable --- the scheduling committee suggests the following changes to the women’s schedule for the 2005-06 season.

o         Many of the coaches expressed concern with the sat/sun/tues format assigned to the women’s schedule. Last year this posed a problem with teams playing sat/sun/tues/thurs. finding a time for the NCAA mandated off-day. To help with that issue, the committee suggests to the ADs the opportunity to move women’s contests from Tuesday to Wednesday when possible. In the event two teams cannot agree, the default will be Wednesday so long as the home team does not have another game (men) previously scheduled at home that same mid-week date.

o         The committee also suggested the flexibility of the teams to play Fri/Sat on doubleheaders or Sat/Sun. In addition – in keeping with the men’s schedule – the committee suggests allowing the women to break up the assigned back-to-back play with a Friday-Sunday format. If the two/four teams in the mix cannot agree, the default in this instance would be the originally scheduled dates – more than likely – Saturday-Sunday back-to-back format of weekend play.

·          ALL WOMEN’S BASKETBALL SUGGESTIONS WERE APPROVED.

Volleyball

·          Proposal to discuss and settle on a volleyball schedule for 2006. One of the schedules requires three weekend contests (preferred by the volleyball committee), while the other provides the option to play four weekend contests. AFTER A MOTION TO PULL FROM THE SCHEDULING REPORT AND VOTE SEPARATELY, THE BOARD APPROVED THE COACHES’ PROPOSAL #1 – REMINDING THEM THAT A MOVE FROM A MID-WEEK MATCH TO A WEEKEND DATE WOULD BE WELCOMED IF TWO SCHOOLS SO DESIRE.

 

Sportsmanship Committee

·          Motion to approve sportsmanship awards for all conference sports – allowing the sport committees to set up the criteria for selection. In addition – allow for the naming rights of such awards by recommendation of sport committees or the Board of Directors. (APPROVED)

·          Motion to name the Conference Overall Commissioner Cup after former ODAC Commissioner Dan Wooldridge. (APPROVED). The Men’s Cup and Women’s Cup will remain unnamed with the option for additional recommendations to name them in the future.

 

SPORTS COMMITTEE REPORTS:

Baseball

·          The 2006 Tournament will be held April 27-30.

·          Coaches Meeting: To be held annually the second Tuesday after the Tournament

·          ODAC only statistics will be used in determining the All-Conference Team

·          Require rainout dates to be played on Sunday following Saturday scheduled conf. Doubleheaders and following day of scheduled mid-week conference play.

·          Proposed during the Board meeting - Increase umpire fees for 2006 to be better in line with adjacent conferences (New Fees for 2006 - $105 single, $210 doubleheader)

 

The coaches also discussed the possibility of playing a three-game series against conference opponents in the future. Curt Kendall surveyed the coaches and will distribute the information to the ADs following the meeting.

 

** The baseball report, including the above recommendations was moved and APPROVED as a whole.

 

Cross Country

 

·          Coach-of-the-Year.  Selected by a vote of the coaches at the championship meet.  Ballets will have space for three selections with the 3 points awarded to the first choice nomination, 2 points awarded to the second nomination and one point for the third choice nomination.  Coaches must make a selection for each blank.  Ballets must be filled out correctly in order to be counted in the voting process.  The nomination with the highest number of points is the winner.

·          Selected by a vote of the coaches at the championship meet.  Ballets will have space for three selections with the 3 points awarded to the first choice nomination, 2 points awarded to the second nomination and one point for the third choice nomination.  Coaches must make a selection for each blank.  Ballets must be filled out correctly in order to be counted in the voting process.  The nomination with the highest number of points is the winner.

·          Both recommendations and the report were APPROVED

 

Golf

 

·          Change the Conference Tournament to a 54-hole event starting in 2007. (APPROVED 9Y, 0N, 3ABSTIN)– PROVIDED THE TOURNAMENT CAN BE PLAYED WITHOUT MISSING MORE THAN TWO DAYS OF CLASS – THIS NEEDS TO BE CLEAR WHEN LOOKING FOR A FACILITY IN 2007 AND BEYOND)

·          Commencing in 2006, eligible teams may enter up to five players in the Conference Tournament, not six. APPROVED (9Y, 0N, 3ABSTIN)

·          The list of nine endorsed tournaments is submitted for approval.  APPROVED 9Y, 0N, 3ABSTIN – WITH MENTION OF THE NUMBER ALLOWED – THE COMMITTEE SHOULD REVIEW REDUCING THIS NUMBER AS MORE CONFERENCE MEMBERS PROVIDE HOSTING OPPORTUNITIES.

Men’s Lacrosse

 

·          O.D.A.C. Men’s Lacrosse Tournament expand it’s current format of the top 4 seeds from the regular season to the top 6 seeds from the regular season.  This proposal is contingent on the following dates for 2006:  Saturday / Sunday April 22 – 23 ends the O.D.A.C. regular season play.  The following weekend (Saturday / Sunday April 29 – 30) would be the First Round of the Conference Tournament with the 3rd / 4th seeds hosting the 5th / 6th seeds respectively.  The winners of those 2 games would advance to play the #’s 1 & 2 seeds on Tuesday / Wednesday May 2-3.  On Saturday / Sunday May 6-7 the two winners from the semi-final round would meet for the Conference Championship.  All games would be at the site of the highest seed.  The #1 seed would play the winner of the #4 / # 5 game in one semi-final while the #2 seed would play the winner of the #3 / #6 game in the other semi-final.  DENIED – 1Y, 6N, 5ABSTIN.

 

·          Motion to prohibit film exchange, verbal or written information on conference members to out of conference opponents. APPROVED 7Y, 6 ABSTIN

 

·          Following the defeat of the six-team tournament – allow the tournament to be played a week later May 2-3 and 6-7 APPROVED 7Y, 6 ABSTIN.

Women’s Lacrosse

 

·          Motion to move conference tournament dates back one week. First round games on Tuesday and Wednesday the 25th and 26th of April, and the semi-finals on Saturday, April 29th with the finals coming on Sunday, April 30th. Match conference tournament dates with ODAC Women’s Lacrosee Sport Guidelines. Gives an additional week for rain-outs and make-up games from earlier in the season. APPROVED 10Y, 0N, 3ABSTIN

 

·          To have all-conference nominations and selections done by e-mail, completed by the Friday before the conference semi-finals and finals weekend. Second Schwartz. Coaches for each team have the ability to look and research players nominated by other ODAC schools. APPROVED 10Y, 0N, 3ABSTIN

 

·          Board Meeting motion - A motion was made from the floor to add a fee to the officials in the women’s lacrosse semifinals and finals – not to exceed $510 per game. The Committee is to create a list of eight officials to solicit for the tournament with Dee McDonough contacting them well in advance (Sept. 1) for scheduling purposes. DENIED

o         There was much discussion on the officials fees. In response, the ADs encouraged the officials supervisor to continue to recruit and put in place a training system to encourage and foster new officials. In addition – the Board will create and officiating sub-committee to deal with such requests in the future

o         The following was moved and seconded – Increase the women’s lacrosse game fee to $130 per game maintaining the current travel policy of $15 if an official travels over 60 miles one-way. (APPROVED - 9Y, 0N, 4 ABSTIN)

Softball

 

·          The committee recommends that the ODAC Tournament be expanded to include eight teams. (DENIED 2Y, 7N, 2 ABSTIN)

·          The committee recommends that the ODAC Tournament be moved from the Moyer Complex and that it be hosted at neutral sites on a rotational schedule. If there are not adequate facilities elsewhere to move the tournament, the committee recommends the Roanoke College not play its regular season home games on filed #1 at the Moyer Complex. (TABLED – ASKING THAT ADDITIONAL INFORMATION BE FORWARDED TO THE BOARD – A CONTRACT BY DECEMBER MEETING FOR 2007 TOURNAMENT. THE 2006 TOURNAMENT WILL BE PLAYED AT MOYER COMPLEX IN SALEM, VA. AND THE NEW RICHMOND FACILITY, ALONG WITH OTHERS, WILL BE VIEWED PRIOR TO AGREEING TO MOVE THE TOURNAMENT. COMMISSIONER BANKSTON WAS ASKED TO WORK WITH THE CHAIR OF THE COMMITTEE IN SECURING CONTRACTS AND VIEWING FACILITIES PRIOR TO THE FALL MEETING AT E&H)

Sports Information Directors

 

·          There are no formal recommendations. The report was APPROVED

 

Swimming

 

·          Each member school will meet each other during the season.  The scheduling matrix will maximize double-dual format yet be flexible to allow some dual meets between conference members.  This allows for conference expansion and consideration of individual institution academic schedules.  Every attempt will be made to have the conference schedule for the following year available by the conference championship. Any dual meet event format can be used.  Coaches who cannot reach agreement will use the 16-event program. Institutions can choose to schedule home-away meets in the same academic year.  The meet scheduled through the scheduling matrix is considered the “official” league meet. APPROVED

 

Men’s Tennis

 

·          Seeds will be treated differently for the coming year of 2006 (“floated” in the draw). See details in the report. APPROVED

·          Players wear school issued apparel, recognizing the limited budgets and needs for multiple outfits for extended play in tennis. APPROVED

 


Track and Field

 

·          (New) Section II –F #1: Mile performances may be converted to 1500m performances with multiplier of .928.

·           (Replaces) Section II –F #1g: Minimum and Maximum Field Sizes for 6 lane, 200 meter tracks.

·          800m: 9 athletes in the fast section

·          1500m: 12 athletes in the fast section

·          (New) Section II –F #1: Minimum and Maximum Field Sizes for 6 lanes, 400 meter tracks.

·          800m: Top 9 entries will comprise the fast section of the 800m.  An alley system will be used.  (Two lanes make up one alley)  There will be 3 runners per alley with three allies total per section.  Runners will be required to stay in his/her assigned alley until the break point.  Subsequent sections will follow the same formula.

·          1500m: Top 12 entries will comprise the fast section of the 1500m.  There will be 2 runners per lane and all will be on the front row.  If there are 15 entries or fewer, the 13th-15th fastest entries will be placed in a second row behind the top 12.  If there are 16 entries or more, additional sections will be added following the same formula 

·          (Replaces) Section III –C: Athlete-of-the-Meet.  Selected by a vote of the coaches at the championship meet.  Ballots will have space for three selections with the 3 points awarded to the first choice nomination, 2 points awarded to the second nomination and one point for the third choice nomination.  Coaches must make a selection for each blank.  Ballots must be filled out correctly in order to be counted in the voting process.  The nomination with the highest number of points is the winner. 

·          (Replaces) Section III –D: Coach-of-the-Year.  Selected by a vote of the coaches at the championship meet.  Ballots will have space for three selections with the 3 points awarded to the first choice nomination, 2 points awarded to the second nomination and one point for the third choice nomination.  Coaches must make a selection for each blank.  Ballots must be filled out correctly in order to be counted in the voting process.  The nomination with the highest number of points is the winner.

·          (Replaces) Section III –E: Rookie-of-the-Year.  Selected by a vote of the coaches at the championship meet.  Ballots will have space for three selections with the 3 points awarded to the first choice nomination, 2 points awarded to the second nomination and one point for the third choice nomination.  Coaches must make a selection for each blank.  Ballots must be filled out correctly in order to be counted in the voting process.  The nomination with the highest number of points is the winner.

·          (Add) Section III –F: Add the word “track” in order to keep format consistent. “The conference will recognize both a track athlete of the week and a field athlete of the week.”

·          (New) Section II –C: Championship meet information should be sent out to conference schools four weeks prior to the championship date.

·          Approve the site for the 2006 Indoor Track Championships held at Liberty University on February 24 (Friday afternoon beginning approximately 3pm). Price for facility $4,000. Timing equipment and officials provided by conference members.
